Events Group Administration

Event Grouping organizes the event names received from your Member Management System (MMS) or class management system into consistent categories for Easalytics reporting.

Easalytics' reporting hierarchy is:  Event Group Type → Event Group → Event

For example: Class → Group X → ZUMBA®

  • Event Group Type is the broadest classification.  The current options are Class, PT, PT Intro, Childcare, and Other.
  • Event Group is a reporting category defined for your organization, such as Group X, Ride, Small Group Training, or PT 60.
  • Event is the individual event name received from your source system.

In the administration page, Event Groups are labeled Event Name Groups. In dashboards, these values appear as Event Group Type, Event Group, and Event.

Event Grouping makes reports easier to read when your source system contains many individual event names or different naming conventions across clubs.

How Event Grouping Affects Reporting

Event Grouping determines how events are categorized in Easalytics. It does not change the event name, schedule, enrollment, attendance, instructor, location, or other information in your source system.

The groupings are used in the following dashboards:

  • Event Attendance: Includes all event types and allows users to analyze results by Event Group Type, Event Group, Event, employee, location, status, day, time, and other event details.
  • Class Attendance: Includes events assigned to an Event Group with an Event Group Type of Class.
  • Class Attendance Trends: Shows attendance and enrollment trends for events classified as Class.
  • Trainer Performance, PT Usage, and PT Usage Trends: Include events assigned to an Event Group with an Event Group Type of PT and PT Intro.  
  • PT Scorecard: Includes events assigned to an Event Group with an Event Group Type of PT Intro for the Book, Set, and Show metrics.  

All users with access to these dashboards can see the resulting groupings. Only client Admin users can manage groupings.

Initial Event Grouping

When your clubs are onboarded, the Easalytics team makes an initial attempt to organize your event names into appropriate Event Groups.

Because each organization uses different terminology and reporting structures, we recommend that your Admin users review the initial setup and adjust it to match how your organization manages and evaluates its programs.

Navigating to the Event Name Groups admin

To manage Event Grouping:

  1. Log in to the Easalytics portal.
  2. Select the gear icon in the upper-right corner.
  3. Open the Admin section.
  4. Select Event Name Grouping.

The Event Name Groups page contains two main areas:

  • The event-name mapping list on the left.
  • The Groups panel on the right.

Only client Admin users can access and manage this page.

 

Managing Event Groups

The Groups panel on the right contains the Event Groups available for your account.

From this section, you can:

  • Add a new Event Group.
  • Rename an existing Event Group.
  • Delete an Event Group.
  • Assign an Event Group Type.
  • Review the history of group changes.

After adding, renaming, deleting, or changing the type of an Event Group, select Save Groups.

Event Group Types

The Event Group Type controls how events assigned to that group are categorized in Easalytics reporting.

Class

Events assigned to a Class group appear in Class Attendance and Class Attendance Trends.

Examples might include: Group X, Ride, Yoga, Aquatics

PT

Events assigned to a PT group are identified as personal training sessions in Easalytics reporting.

Examples might include: PT 30, PT 60, Small Group Training, PT Other

PT Intro

Events assigned to a PT Intro group are identified as introductory or trial personal training sessions.

These events are included in Easalytics' PT Intro Sales Funnel reporting, tracking appointment booking (book), appointment day (set), and show metrics.  Note: the PT Intro Close metrics are derived from Profit Center Grouping where the group type is also PT.  

No Event Group Type (Other)

An Event Group may be left without a Class, PT, or PT Intro type. These events will appear in Event Attendance dashboard, but will not be included in reporting that requires one of those classifications.

Mapping Event Names to Groups

The left side of the page displays the individual Event Names received from your MMS or class management system.

For each Event Name, the page shows:

  • The Event Name.
  • Its assigned Event Name Group.
  • The date it was last modified.
  • The user who last modified it.

To update a single event:

  1. Find the Event Name in the list.
  2. Select the appropriate group from the Event Name Group dropdown.
  3. Select Save Changes.

The Event Group Type is inherited from the selected Event Group.

For example, if an Event Name is assigned to the Group X Event Group and Group X has an Event Group Type of Class, the event will be treated as a Class event in Easalytics reporting.

Finding Event Names

Use the search field at the top of the page to locate an Event Name.

You can also use the Filters panel to filter the list by:

  • Event Name Group.
  • Last Modified User.

Select Apply Filters after making your selections.

Updating Multiple Event Names

To assign several Event Names to the same group:

  1. Select the checkbox beside each Event Name.
  2. In the Group Assignments section, select the appropriate group.
  3. Apply the group assignment.
  4. Select Save Changes.

This is useful when several related event names should be reported under the same Event Group.

The page also includes Download List and Upload List options for managing Event Name mappings in bulk.

Reviewing Changes

Select History to review previous changes.

The page includes separate history options for:

  • Event Name mappings.
  • Event Groups.

The Last Modified and Last Modified User columns can also help identify when a mapping was changed and who made the change.

What Happens After You Save

Changes generally take effect in Easalytics reporting on the following business day.

After the next processing cycle:

  • Updated Event Group Types, Event Groups, and Events will appear in Event Attendance.
  • Events classified as Class will be included in Class Attendance and Class Attendance Trends.
  • Filters, totals, and reporting views will use the updated classifications.
  • All users with access to the related dashboards will see the updated groupings.

These changes affect only how events are categorized in Easalytics. They do not update information in your MMS or class management system.

Planning Your Event Groups

Create Event Groups based on how your organization wants to analyze its programs, rather than creating a separate group for every individual event.

Common examples include:

  • Class
    • Group X
    • Yoga
    • Aquatics
  • PT
    • Personal Training
    • Small Group Training
  • PT Intro
    • PT Kickoffs
  • Other
    • Appointments
    • Special Events
    • Court Bookings

Use names that are recognizable across your organization and broad enough to remain useful when specific event names change.

The individual Event field remains available in Event Attendance when more detailed analysis is needed.

Ongoing Event Group Maintenance

As new event names are added to your source systems, Administrators will see a banner on the homepage and admin pages that Events need to be assigned an Event Group.  Simply click the link in the notification, or navigate to the Event Name Group admin page to make updates.
