# Understanding the ABC Fitness integration

## Easalytics brings your ABC Fitness membership, revenue, check-ins, and service activity together so you can compare clubs, understand your members, and track performance over time. You can move from an overall result to the membership categories, financial activity, or individual members behind it.

This guide covers the ABC DataTrak integration and its supporting Club Reporting System (CRS) data. If you already use ABC, it will help you find the right Easalytics dashboards and understand why two reports can show different results. Available dashboards depend on your Easalytics products, permissions, and connected data.

### Start with these dashboards

Use the side navigation or Report Finder to open a dashboard, then select your clubs and date range.

| What you want to understand | Where to start |
| --- | --- |
| Your membership base, membership mix, and recurring dues | [Member Mix](https://support.easalytics.com/member-mix-dashboard?hsLang=en-us) |
| First-time members and qualifying agreement activity | [New Member Mix](https://support.easalytics.com/new-member-mix?hsLang=en-us) |
| Revenue by club, category, or member segment | [Revenue Compare](https://support.easalytics.com/revenue-analysis-comparison?hsLang=en-us) |
| Membership losses and the associated dues value | [Attrition Trends](https://support.easalytics.com/attrition-trends?hsLang=en-us) |
| PT sales, recurring draft, packages, and enrollment | [PT Sales Revenue & Enrollment](https://support.easalytics.com/personal-training-sales-revenue-and-enrollment-dashboard?hsLang=en-us) |
| The people behind a result | [Member List](https://support.easalytics.com/member-list?hsLang=en-us) |

Start by comparing clubs, then use **View By**, filters, and available drilldowns to understand the result. Data Table tabs let you review and export results. Your Topline Dashboard can bring the metrics you use most often onto the homepage.

### Recognize your ABC information in Easalytics

| Familiar ABC information | How you use it in Easalytics |
| --- | --- |
| Membership types | Membership Types, organized into Membership Type Groups |
| Profit centers | Profit Centers, organized into Profit Center Groups for revenue analysis |
| New Accounts activity, such as new, renewed, or rewritten agreements | Qualifying membership activity used in New Member Unit reporting |
| Recurring services and paid service items | PT sales, recurring monthly draft, package, and enrollment reporting when categorized as PT |
| Scheduled events and attendance | Class, PT, PT Intro, or other Event reporting, according to your Event Groups |

Easalytics adds consistent reporting groups, comparisons across clubs and periods, and member-level analysis. For example, you can identify a revenue change, compare the membership groups contributing to it, and use Member List to explore the members in that segment.

### Choose the membership measure that fits your question

ABC records people, membership agreements, and changes to those agreements. Easalytics gives you different measures for those different activities.

**New Members** answers, “How many people joined as new members?” It uses the member’s **Since Date** in the selected period, subject to the applicable reporting rules and membership exclusions.

**New Agreements** counts qualifying new primary membership agreements. Secondary and dependent members do not each create another agreement, and renewing or rewriting an agreement is different from adding a new agreement.

**New Member Units (NMUs)** measures broader qualifying membership agreement activity, including new memberships, renewals, rewrites, and reinstatements. An existing member can contribute to this activity without being a first-time member again.

For example, someone who joined in 2024 and completes a qualifying rewrite in October 2026 is not a new person acquired in October 2026. Their rewrite can still contribute to October’s NMUs.

Use the same measure when comparing clubs, reviewing goals, or discussing results with your team. When you need to understand an NMU total, use the available membership detail to review the agreement types and people included.

### Understand Since Date and New Date

ABC’s **Since Date** and **New Date** describe different activity. Since Date identifies when the person became a member; New Date identifies the reported new-account or agreement activity. Easalytics uses Since Date for New Members and the relevant agreement-activity date for NMUs.

If a person’s Since Date is September 30 and the corresponding New Date is October 1, a member-based result and an agreement-activity result can fall in different months. That difference does not, by itself, mean a member is missing.

ABC approval and posting processes can also affect when a transaction becomes available in its different reports and in the supplied data. Use the Easalytics reporting cutoff and the selected membership measure when comparing a recent day.

A club transfer, a rewrite, and a first-time join describe different business events. A new agreement number alone does not establish that someone is a first-time member.

### Read ABC revenue as collections activity

Easalytics’ ABC revenue reporting uses the **Daily Revenue and Deposit Reconciliation (DRDR)** data, including the supporting Profit Center detail. Revenue follows the payment date supplied in that data.

Use Revenue Compare to understand collected revenue by club, Profit Center Group, Profit Center, or member segment. Use the comparison views to identify what changed, then open the available detail behind a result.

Three distinctions help explain the numbers:

- **Collections are different from sales.** Selling a membership or PT package and collecting its payment can happen on different dates.
- **Collections are different from deposits.** A payment collected in September can settle or reach the bank in October. ABC’s deposit reports can also reflect fees and different payment populations.
- **Sales tax is separate from base revenue.** Easalytics stores revenue excluding tax and the associated tax separately. Revenue Compare lets you include or exclude tax; keep that choice consistent with the ABC total you are comparing.

For example, a package sale recorded on September 30 and collected on October 2 can belong to September’s sales activity and October’s DRDR-based revenue. The bank deposit can occur later still.

**Dues are different from collected revenue.** Monthly dues describe recurring membership value. Revenue describes the included financial activity in the selected period. New-member counts, dues, and revenue can therefore move differently.

### Understand why ABC’s own reports can differ

ABC reports serve different purposes. Use the measure you want to understand as the starting point for a comparison.

| ABC report | What to keep in mind |
| --- | --- |
| Daily New Accounts | Shows entered account activity, which can include activity involving existing members. It is not automatically equivalent to Easalytics New Members. |
| Daily Production Report | Combines membership, recurring-service, and revenue information. Its recurring-service amount can represent a scheduled invoice amount rather than a monthly-equivalent total. |
| Recurring Services Dashboard | Shows agreement statuses and projected billable amounts. Those amounts are different from collected revenue. |
| DRDR | Reports collections activity and related financial information. Compare the appropriate revenue section or Profit Center detail with the corresponding Easalytics revenue scope. |
| Club Deposits and Settlements Summary | Shows deposits and settlements. Timing, included payments, and fee treatment can differ from DRDR collections. |

ABC documents an example where a service billed $100 biweekly appears as $100 in Daily Production and $200 in the Recurring Services Dashboard. One is showing the scheduled invoice amount; the other accounts for the billing frequency. Similar labels do not guarantee that two reports measure the same amount.

In Easalytics, choose membership activity, monthly draft, or collected revenue according to your question. Keep clubs, dates, exclusions, tax treatment, and the reporting cutoff consistent when comparing results.

### Understand which club receives the activity

A member can belong to one club, pay at another, and visit a third. Easalytics keeps these activities tied to their relevant source information:

- **Membership:** Uses the member’s assigned club in the ABC member data.
- **Revenue:** Uses the reporting club supplied with the DRDR activity. The payment location and member’s home club can be different.
- **Check-ins:** Uses the club where the visit was recorded.

A club’s revenue and visits can therefore include activity from members whose home club is elsewhere. In [Member Average Revenue](https://support.easalytics.com/member-average-revenue?hsLang=en-us), the **Home Club Purchases** control lets you focus on home-club purchasing or include cross-club activity. Also check whether you are using Members with Spend or All Members: those choices use different member populations.

### Keep PT sales, recurring draft, and usage separate

Use PT Sales Revenue & Enrollment to review package sales, monthly recurring draft, enrollment, and supporting transactions. Use PT Usage or Event Attendance to understand participation.

**New PT EFT Draft** describes the monthly-equivalent recurring billing value added by qualifying PT sales. **PT PIF Sales** describes paid-in-full package selling activity. **PT Revenue** describes the included DRDR-based collections from Profit Centers categorized as PT.

For example, a newly sold recurring PT service worth $150 per month adds $150 of recurring draft. That does not establish how much was collected that day or how many sessions the member has attended.

The **PT EFT Draft Adjustment** setting lets you review original amounts or amounts adjusted for qualifying cancellations and package changes. In the adjusted view, an upgrade from $200 to $250 per month contributes the incremental $50 increase, rather than treating the replacement package as entirely new recurring business. Use the PT Transaction List to see supporting adjustments.

Administrators maintain two related settings:

- **Service Item Grouping** identifies the products included in PT sales and package reporting.
- **Profit Center Grouping** identifies the financial categories included in PT revenue.

Keep both up to date as new products are added in ABC. Freeze and upcoming-change reporting also depend on the dates supplied for the package.

### Use visits, referrals, and membership changes to find opportunities

**Check-ins:** Compare Total Check-Ins with Unique Daily Check-Ins. A member who scans twice on Monday and once on Tuesday contributes three Total Check-Ins and two Unique Daily Check-Ins. Daily uniqueness is different from counting each person once for an entire month.

**Classes and PT attendance:** Review enrollment and attendance separately. Signing up does not establish attendance, and a facility check-in does not establish attendance at a particular session. Activities managed in another scheduling system require that source to be connected.

**Referrals:** Where ABC supplies a referring-member relationship, [Member Referral Analysis](https://support.easalytics.com/member-referral-analysis?hsLang=en-us) helps you compare referred-member results and identify top referrers.

**Membership changes:** Use [Membership Upgrades & Downgrades](https://support.easalytics.com/membership-upgrades-downgrades?hsLang=en-us) to understand movement between membership levels and the associated dues impact. Your administrator’s Membership Type Group tiers determine how those movements are classified.

### Make reporting groups work for your organization

Your administrator can organize ABC Membership Types, Profit Centers, service items, and events into the categories your team uses to manage the business.

Membership Type Groups can identify categories excluded from member counts, such as Staff. An excluded membership can still be present in Easalytics; the exclusion changes its contribution to the selected reporting view. Check the available exclusion control when comparing member results.

Profit Center Groups identify PT and discretionary revenue, Service Item Groups identify PT products, and Event Groups organize Class, PT, PT Intro, and other activities. Review these settings when you add new products or membership types in ABC.

Goals and marketing spend are entered or uploaded separately in Easalytics. Lead, tour, and guest-pass reporting from Engage Pro / VFP also requires its own connection. See [Understanding the Engage Pro integration](https://support.easalytics.com/understanding-the-vfp-engage-pro-integration?hsLang=en-us).

### Know how current your results are

ABC data updates in Easalytics on scheduled cycles. Member activity and revenue do not always have the same reporting cutoff, and some supporting reconciliation information arrives monthly.

Check the dashboard’s **data as of** date and available **Data Status** information. Read month-to-date results through the date shown, rather than assuming every result includes yesterday.

At the beginning of a month, the newest available revenue date may still belong to the previous month. For example, if revenue is available through September 30, an October “This Month” selection can have no data yet. That does not mean no October collections occurred; the October revenue data may not have reached the reporting refresh.

Use the displayed cutoff rather than a fixed assumption about a one-day or two-day delay. Contact support if a category remains behind its expected reporting period.

### Build your regular Easalytics review

Start with your Topline Dashboard, then explore the detailed dashboards behind a change. Which memberships are growing? Which clubs are adding recurring dues or PT draft? Which revenue categories changed? Are members visiting and using the services they buy?

Favorite frequently used dashboards and save views with your preferred filters. Use Member List, available drilldowns, and Data Table exports to review the people and transactions behind a result.

If a result needs explanation, email [support@easalytics.com](mailto:support@easalytics.com) with the club, date range, and Easalytics metric. If you are comparing with ABC, include the exact report name, settings, and a screenshot or export if available. We can help explain the definitions and review the underlying records.
