# Understanding the Daxko Club Automation integration

## Easalytics brings your Club Automation membership, revenue, check-ins, and scheduled activity together so you can see how your business is performing, compare locations, and understand the members behind the numbers.

If you already know Club Automation, this guide will help you get started in Easalytics: where to look, how familiar information appears, and how to interpret the results. Available dashboards depend on your Easalytics products, permissions, and the information your organization records in Club Automation.

### Start with these dashboards

Use the side navigation or Report Finder to open a dashboard, then select your clubs and date range.

| What you want to understand | Where to start |
| --- | --- |
| Your membership base, membership categories, and dues | [Member Mix](https://support.easalytics.com/member-mix-dashboard?hsLang=en-us) |
| New people joining and qualifying agreement activity | [New Member Mix](https://support.easalytics.com/new-member-mix?hsLang=en-us) |
| Revenue by club, category, or member segment | [Revenue Compare](https://support.easalytics.com/revenue-analysis-comparison?hsLang=en-us) |
| Membership losses and the associated dues value | [Attrition Trends](https://support.easalytics.com/attrition-trends?hsLang=en-us) |
| PT sales, recurring draft, packages, and enrollment | [PT Sales Revenue & Enrollment](https://support.easalytics.com/personal-training-sales-revenue-and-enrollment-dashboard?hsLang=en-us) |
| Participation in classes, lessons, and other scheduled activities | [Event Attendance](https://support.easalytics.com/event-attendance-dashboard?hsLang=en-us) |
| The individual members behind a result | [Member List](https://support.easalytics.com/member-list?hsLang=en-us) |

Start with a club comparison, then use the available **View By** options, filters, and drilldowns to understand what is driving a result. Data Table tabs let you review and export results. Your Topline Dashboard can bring frequently reviewed metrics onto the homepage.

### Recognize your Club Automation information in Easalytics

| In Club Automation | How you use it in Easalytics |
| --- | --- |
| Membership user groups | Membership Types, organized into Membership Type Groups for reporting |
| Accounting groups / general ledger categories | Profit Centers, organized into Profit Center Groups |
| Packages and add-ons used for paid services | Service Items, grouped to identify the products included in PT sales reporting |
| Scheduled activities and their enrollment / attendance records | Events, organized into Event Groups and Event Group Types |

These reporting groups let your team compare useful business categories across locations without manually combining individual memberships, accounting categories, or activities in spreadsheets.

### Choose the membership measure that fits your question

People and agreements answer different questions. In New Member Mix, select the measure that matches the activity you want to understand.

**New Members** counts people joining for the first time in the selected period, using their joining or Since Date. Renewing or reactivating an existing membership does not make someone a first-time member again.

**New Agreements** counts qualifying new primary membership agreements. For Club Automation, the agreement type must be **New**. Additional family members do not each create another agreement, and renewals and reactivations are not new agreements.

**New Member Units (NMUs)** gives a broader view of membership agreement activity. For Club Automation, it includes members associated with agreement types **New, Renew, or Reactivated**. More than one member can be associated with a qualifying agreement.

For example, a qualifying new family agreement covering three first-time members can contribute **three New Members, three NMUs, and one New Agreement**, provided all three members meet the reporting criteria and exclusions. A returning member on a qualifying reactivated agreement can contribute to NMUs without becoming a New Member again.

For Club Automation, qualifying agreements cancelled within 30 days of the sale are removed from New Agreements and NMUs when the cancellation is recorded. A recent period’s totals can therefore change as early cancellations occur.

Use the same measure when comparing locations, setting goals, or reviewing results with your team. Membership reporting also follows your organization’s configured membership exclusions.

### Understand current members and upcoming cancellations

A cancellation request and the end of a membership can occur on different dates. In Easalytics, **Pending Cancel** identifies Club Automation members who have requested cancellation but remain active through a future end date.

For example, someone who requests cancellation on October 10 but remains a member through October 31 is still active during that remaining membership period. They become inactive and lost after their official end date has passed.

Use Member List and the available status, date, and reason fields to understand individual memberships. This helps distinguish upcoming losses from memberships that have already ended.

### Read revenue using your Club Automation accounting model

Start with Revenue Compare to see which clubs and Profit Center Groups are driving revenue. Change the view to explore individual Profit Centers or member segments, and use period comparisons to understand changes over time.

Easalytics supports Club Automation’s **cash and accrual accounting models**. Your account’s configured model determines the revenue basis:

- **Cash accounting:** Revenue follows payments received against the included charges.
- **Accrual accounting:** Revenue follows Club Automation’s revenue accounting entries, rather than simply the date a payment is collected. Revenue recognition and collection can occur in different periods.

For a simple membership charge recorded on September 30 and paid on October 2, cash reporting places the collection in October. If the charge is recognized as September revenue under accrual accounting, it belongs to September even though payment arrives in October.

This is why a revenue total, a package-sales total, and a bank-deposit total do not necessarily match. Each measures a different part of the business.

Club Automation’s **Transaction Summary** and **Accounting Groups** reports are useful comparison points. Keep the accounting basis, dates, locations, categories, and applicable tax treatment consistent. Club Automation report filters, such as POS location or open versus closed batches, can also change the population being compared.

**Dues and revenue are different measures.** Dues describe recurring membership value; revenue describes financial activity recognized under your account’s accounting model. Paid-in-full memberships, PT, and other purchases also contribute to revenue.

### Understand which club receives the activity

A member can belong to one club, make a purchase associated with another, and visit a third. Easalytics uses the club relevant to the activity:

- **Membership:** Club Automation member assignment uses the member’s Home Club.
- **Revenue:** Club assignment follows the financial transaction and accounting information supplied by Club Automation. It can differ from the member’s Home Club, and the attribution can differ between cash and accrual reporting.
- **Check-ins:** Activity is associated with the club where the check-in was recorded.

These views help you understand both the membership base and where business activity occurs. A club’s revenue and visits can include activity from members whose Home Club is elsewhere.

### Keep PT sales, revenue, and usage in view

Club Automation packages and add-ons support Easalytics’ PT reporting. Use PT Sales Revenue & Enrollment to review new sales, recurring monthly draft, cancellations, freezes, enrollment, and supporting package detail.

**PT EFT Draft** represents the monthly-equivalent value of recurring PT billing. **PT PIF Sales** represents package purchases without an ongoing recurring billing schedule. **PT Revenue** follows your account’s revenue accounting model. These amounts measure different activity and do not have to match.

For example, a newly sold recurring PT service worth $120 per month contributes $120 to New PT EFT Draft. That value describes the recurring billing added; it does not mean $120 was already collected or recognized as revenue that day.

Two administrator settings control different parts of this reporting:

- **Service Item Grouping:** Packages and add-ons must be assigned to a group flagged as PT to appear in PT sales and package reporting.
- **Profit Center Grouping:** Financial categories must be flagged as PT to appear in PT revenue reporting.

Club Automation does not have a one-to-one relationship between service items and accounting categories, so maintaining one grouping does not replace maintaining the other.

Use PT Usage or Event Attendance alongside sales reporting to understand whether members are using the services they purchase. A member can buy sessions in one month and attend them in another.

### Use check-ins and events to understand engagement

Check-in dashboards help you compare facility usage across clubs, dates, and member groups. Choose the measure that fits your question: Total Check-Ins measures recorded check-in activity, while Unique Daily Check-Ins counts a member once per day. A daily count is different from counting each person once across an entire month.

Use Event Attendance for classes, lessons, appointments, and other scheduled programming supplied through the integration. Review enrollment, attendance, cancellations, and available location or resource detail to understand participation.

**Enrollment shows who signed up; attendance shows who attended.** Attendance and capacity analysis depend on those details being recorded in Club Automation. A facility check-in alone does not establish attendance at a particular class or PT session.

### Make reporting groups work for your organization

Your administrator can refine reporting groups so dashboards reflect how you manage the business:

- **Membership Type Groups** organize memberships and identify categories excluded from member counts, such as Staff.
- **Profit Center Groups** organize financial categories and identify PT and discretionary revenue.
- **Service Item Groups** identify the packages and add-ons included in PT sales reporting.
- **Event Groups** organize activities into Class, PT, PT Intro, or Other reporting.

An excluded membership can still be present in Easalytics. The exclusion changes which memberships contribute to the selected reporting view. Keep the exclusion setting consistent when comparing results.

Review groupings as your team adds new memberships, accounting categories, packages, or activities in Club Automation. Goals and marketing spend are entered or uploaded separately in Easalytics.

### Know how current your results are

Easalytics receives Club Automation information through Daxko’s Data Vault and updates reporting on a scheduled daily cycle. A live Club Automation screen can include activity that has not yet reached the data supplied for your Easalytics refresh.

Check **Data Status** and the dashboard’s **data as of** date before reviewing a recent period. Different data areas can arrive at different times, so check the category relevant to your question.

For month-to-date reporting, read the result through the date displayed. Late-arriving records or corrections can update an earlier reporting period after a later refresh.

If your organization also uses Engage Pro / VFP, its lead, tour, and guest-pass reporting requires a separate connection. See [Understanding the Engage Pro integration](https://support.easalytics.com/understanding-the-vfp-engage-pro-integration?hsLang=en-us) for how Easalytics connects those activities to membership results.

### Build your regular Easalytics review

Start with your Topline Dashboard, then explore the detailed views behind a change. Which memberships are growing? Which revenue categories changed? Are upcoming cancellations increasing? Are members visiting and using the services they buy?

Favorite the dashboards you use often and save views with your preferred filters. Use Member List, available drilldowns, and Data Table exports when you need the detail behind a result.

If a result needs explanation, email [support@easalytics.com](mailto:support@easalytics.com) with the club, date range, and Easalytics metric. If you are comparing with Club Automation, include the report name, its settings, and a screenshot or export if available. We can help explain the definitions and investigate the underlying records.
