# Understanding the Engage Pro integration

## Easalytics brings your VFP / Engage Pro leads, tours, and guest passes together with membership results from your Member Management System, such as ABC. Use it to see which clubs and salespeople are generating opportunities, how those opportunities turn into memberships, and where to focus your team’s efforts.

If you are used to VFP’s Daily Activity Report or Dashboard, some Easalytics numbers may look different. This guide explains how to use Easalytics, the improvements the integration makes to your reporting, and why a difference from VFP does not necessarily mean data is missing.

### Start with the Lead Conversion dashboard

Open **Lead Conversion**, select your clubs and date range, and use **View By** to organize the results. Start with Club for an overview, then try Salesperson, Lead Type, or Lead Source to understand what is driving performance.

| What you want to understand | Where to look |
| --- | --- |
| How many leads you are generating and how they compare with membership sales | **Leads** |
| How effectively tours turn into memberships | **Tours** |
| The individual people behind a result | **Lead Details** |
| How performance is changing over time | **Trends** and **Trend Compare** |
| Whether clubs are on pace to meet their lead and membership goals | **Goals** |

The corresponding Data Table tabs let you review results in a table and export them to Excel. In Lead Details, use **Metric in Date Range** to choose New Lead, New Member, Guest Pass, Tour, or All.

### **How Easalytics improves your reporting**

#### **Connect lead activity to actual membership results**

VFP supplies lead, tour, guest-pass, salesperson, and referral information. Your membership system supplies membership starts, membership attributes, and recurring dues. Easalytics connects these records so you can analyze acquisition activity alongside the membership results it produces.

For example, you can compare Lead Sources by New Members and Avg New Dues, or compare salespeople by tour conversion. An Active record in VFP can still be a prospect; Easalytics uses membership-system records to establish the membership result.

#### **Reduce duplicate counting**

One person can have more than one VFP profile. When those profiles share the membership reference used for matching, Easalytics can recognize the duplicate within the club’s lead reporting and count one lead.

We have validated cases where VFP counted both profiles and Easalytics counted the person once. That makes the lead count more useful for measuring lead generation and conversion. Matching depends on the identifiers supplied by VFP and your membership system.

#### **Keep useful Lead Types after someone joins**

VFP can change a person’s Join Type to Member after conversion. Easalytics retains the available prior non-Member type, so a Web or Walk-in lead can remain in that category after joining. You can continue comparing the membership results associated with those lead types.

This is the retained prior category, rather than a guaranteed record of the person’s first-ever source. Other changes made to the lead’s type can affect the category shown.

### Understand leads, tours, and new members

These measures describe different stages of the sales process. A person can become a lead in one month, tour in another, and join later.

**New Leads** counts leads created during your selected dates. An existing lead returning to the club does not automatically become a new lead again.

**Tours Given** counts recorded tours during your selected dates. A tour can belong to someone who became a lead before that period.

**New Members** counts first-time members whose membership began during your selected dates, using membership-system data and the applicable membership exclusions. It is different from counting every membership transaction or every record labeled Member in VFP. See [New Member Mix](https://support.easalytics.com/new-member-mix?hsLang=en-us) for the differences between New Members, New Agreements, and New Member Units.

For example, someone who became a lead in January and joined in March contributes to January’s New Leads and March’s New Members. Easalytics places each result in the period when that event happened.

### Use conversion measures to answer the right question

#### **Are we turning new leads into tours?**

On the Leads tab, **Lead-to-Tour Conversion** shows the percentage of New Leads who had a recorded tour within **Lead Target Days to Tour**. Use this to assess how effectively your team gets new prospects into the club for a tour.

Changing that target-day setting changes the lead-to-tour measures. It does not change New Leads or the other Leads metrics.

#### **How do membership sales compare with lead generation?**

**Lead Conversion Rate** is New Members divided by New Leads for the selected period. If you have 100 New Leads and 20 New Members, the rate is 20%.

This is a comparison of the period’s results. Some of those 20 members may have become leads in an earlier month. For the same reason, the rate can exceed 100% when memberships from earlier leads outnumber the new leads generated during the selected period.

#### **How effectively are we closing our tours?**

Use the **Tours** tab. **Tour Conversion Rate** shows the percentage of Tours Given that produced a new membership within **Tour Target Days to Conversion**.

For example, with a 30-day target, someone who toured on March 25 and joined on April 2 counts as a converted March tour. Their membership still counts in April’s New Members. This gives the March tour credit for the membership it produced, even though the person joined the following month.

Recent tours have had less time to convert. Their conversion results can increase as people join within the selected window. See the [Lead Conversion dashboard guide](https://support.easalytics.com/lead-conversion-enagepro-vfp-integration?hsLang=en-us) for all metric definitions and controls.

### Understand Lead Type, Lead Source, and referrals

| In Easalytics | What it tells you |
| --- | --- |
| **Lead Type** | The VFP Join Type category, such as Web, Walk-in, Referral, or Other. |
| **Lead Source** | More specific source information supplied by VFP, such as an advertising or integration source. |
| **Join Source** | How the membership sale is categorized by your membership system. This is separate from the lead’s origin. |
| **Referred Leads** | Whether VFP supplies a referring-member relationship for the lead. |

Use Lead Type for broad comparisons and Lead Source for more detail. Use Referred Leads to analyze people with a referring member: a person can be recorded as a Walk-in and also have a referral.

Guest Pass gives you another way to compare prospects. For example, you can analyze people with a particular guest pass separately from other Walk-in leads.

Lead origin and purchase channel can also differ. A Web lead may buy in the club, while a Walk-in may complete the purchase online. Use the membership’s Join Source when analyzing the purchase channel rather than assuming that all Web leads are online sales.

### Why Easalytics and VFP totals can differ

VFP’s Daily Activity Report, its Performance Dashboard, and Easalytics do not always count the same things in the same way. The most useful comparison starts with what each number means.

#### **VFP’s two reports can differ from each other**

Daxko states that the **Daily Activity Report uses live data**, while the **Performance Dashboard can lag by up to four hours**. Recent activity can therefore appear in one before the other. Easalytics reflects its latest completed data refresh. See [Daxko’s Daily Admin Reporting guide](https://help.daxko.com/s/article/ENGAGE-PRO-Daily-admin-reporting).

The Daily Activity Report also brings together several activities. Someone who became a lead in January and toured in March can appear in March’s activity detail. In Easalytics, that person belongs in January’s New Leads and March’s Tours. Their presence in a March activity list does not make them a newly created March lead.

#### **VFP’s Leads total can include returning prospects**

VFP’s [Leads dashboard definition](https://help.daxko.com/s/article/Engage-Pro-Dashboard-Data-Definitions-Leads-dashboard) includes both newly created accounts and reengaged leads who register again after an absence. The default absence threshold is 90 days and is configurable.

Easalytics New Leads measures newly created leads. A returning prospect may contribute to this month’s tours or membership results without being counted again as a New Lead. Together with duplicate handling, this can explain why Easalytics shows fewer leads than VFP.

#### **A first-time guest is different from a new lead or a tour**

Under VFP’s [Guests dashboard definition](https://help.daxko.com/s/article/Engage-Pro-Data-Definitions-Guests-dashboard), a guest registering again after a long absence can qualify as a First Time Guest. The default threshold is 90 days and is configurable. That label does not always mean the person’s first-ever visit.

A guest registration, a new lead, and a recorded tour describe different events. Compare Easalytics New Leads with lead creation and Tours Given with recorded tours, rather than expecting either measure to match VFP’s First Time Guests.

#### **Conversion and close percentages use different formulas**

VFP’s documented Lead to NMU Conversion measures that month’s leads who purchased during the same month. Easalytics Lead Conversion Rate compares the period’s New Members with its New Leads.

VFP’s general Daily Activity Close % uses sales divided by first-time and returning guests. Its [NMU dashboard Closing %](https://help.daxko.com/s/article/Engage-Pro-Data-Definitions-New-Member-Units-dashboard) uses monthly NMUs divided by monthly tours. Easalytics Tour Conversion Rate follows the selected tours through their conversion window. These percentages answer different questions; use the Easalytics measure that fits the result you want to evaluate.

### **How we have validated the data**

We have investigated reporting differences by checking individual VFP profiles, membership records, duplicate profiles, and club assignments. That work has supported Easalytics results even when VFP’s own reports disagreed.

#### **Lead counts supported by the underlying VFP records**

In a March 2025 club review, three reports showed different lead totals:

| Report | Leads shown |
| --- | --- |
| VFP Dashboard | 1,031 |
| VFP Daily Activity summary | 978 |
| Easalytics | 989 |

Reviewing the individual records identified two issues with VFP Reporting:

1. leads associated with another club and
2. leads present in VFP profiles but missing from the Daily Activity export.

Accounting for those differences reconciled the reviewed records to **Easalytics’ total of 989**.

#### **Tours and conversions supported by VFP profiles**

In a February 1–4, 2026 review, Easalytics showed **50 tours** compared with **48** in VFP’s Daily Activity Report. Three people missing from the VFP report had tours recorded in their VFP profiles. One person included in the VFP report was marked deleted and was absent from Easalytics’ result. Those records explained the difference.

The same review supported **17 new members from tours** in Easalytics, compared with **14** found in the VFP export. The three additional tours supported by the profiles also explained the additional conversions.

These historical examples show why a VFP summary total alone is not the standard for accuracy. Our validation checks the records behind the number so you can use Easalytics results with confidence.

### Make Easalytics part of your regular sales review

- **Compare clubs and salespeople.** Use Leads to identify changes in lead generation, then Tours to assess follow-up and conversion.
- **Compare lead quality.** Review Lead Types, Lead Sources, Guest Passes, and Referred Leads alongside membership results and recurring dues.
- **Watch trends.** Use Trends and Trend Compare to see whether changes in lead volume are followed by changes in tours or memberships.
- **Include costs and goals.** When your administrator has entered Marketing Spend and New Member Goals, review Cost per Lead, Cost per Acquisition, and progress against goals. Monthly spend and goals are prorated for partial-month reporting.
- **Look at the people behind a result.** Use Lead Details when you want to understand a specific lead, tour, or membership outcome.

Two settings are especially useful to understand when reviewing results:

- **Lead Source Exclusion** initially excludes DataTrak EAE and repstorelaxation, sources associated with historical imports or promotional lead activity. Select Include All when you want those sources included.
- **Member Count Exclusion** controls whether membership types configured for exclusion are included in member-based results. It does not change New Leads.

Keep those settings consistent when comparing clubs or periods. Marketing Spend and goals are entered or uploaded by your administrator; they are separate from the VFP connection.
