Release Notes July 16, 2026
This release includes data quality improvements, functional updates to dashboards and topline widget links, new data and metrics, and continued enhancements to our AI Analyst and AI Intel Brief beta products.
Here are the highlights:
Club Automation Data Availability Timing Update
Due to delays in data availability from Daxko, we've moved our morning data processing for clients using Club Automation and MotionSoft member management systems later in the day.
Based on customer feedback, we chose to prioritize complete data over earlier availability. Club Automation and MotionSoft data is now expected to be available by approximately 11:00 AM, rather than around 7:00 AM, helping ensure reports contain the most complete data available from the vendor.
Until the morning data load is complete, Easalytics will continue to display the most recent day of available data. All dashboards and reports include an "As of" date or selected date range so you can easily verify the reporting period.
Check-in Alerts for Club Automation Clients
Check-in Alerts data is now available in our Check-in Alerts dashboard for Club Automation clients.
This update gives CA clients greater visibility into members or front desk processes that may require attention based on recent check-in alerts and entry statuses.
Homepage Topline Dashboard Updates
We continued expanding the Homepage Topline dashboard feature with additional widget options and improved connections to detailed dashboards.
Easalytics Topline dashboards allow users to bring key operating metrics together in one place, with links to explore the supporting dashboards in greater detail.
This release includes:
- A new Avg Dues per Member widget with prior-month and year comparison and the ability to switch between members and agreements
- New PT Freeze widgets for Yesterday and Month to Date, including members placed on freeze, members removed from freeze, and currently frozen members
- New PT EFT Draft Yesterday and PT PIF Sales Yesterday widgets, completing the set of PT sales widgets using prior-day data
- Metric selectors added to the New Member Breakdown and Current Net Membership widgets allowing users to switch between New Members, New Member Units, and New Agreements
- Profit center filters added to PT Revenue widgets for more detailed personal training revenue views
- Improved links from widgets to supporting dashboards, including all preset filters on the widget.
These updates continue our efforts to making the homepage a more useful daily starting point for our users.
Current Club Age Added to Key Dashboards
This release we added a Current Club Age field to several dashboards to help users compare locations at similar stages of maturity.
Current Club Age groups clubs based on the amount of time they have been open, making it easier to distinguish newer locations that are still growing from more established clubs with a longer operating history.
Age Groups are:
- 0-12 months
- 13-24 months
- 25-36 months
- 37+ months
Current Club Age has been added to:
- Member Mix
- Revenue Compare
- Check-in Analysis
- Lead Conversion
- Club Activity YOY
The new option is available as a filter and as a View By or Segment option where applicable. On the Lead Conversion and Club Activity YOY dashboards, it replaces the previous Clubs Open < 1 Year filter with more flexible club-age groupings.
This update gives users additional context when comparing membership, revenue, check-in, lead conversion, and overall club activity across locations.
In the same dashboards we've also added Primary Club Group and Secondary Club Group as a View By or Segment option. These groupings can be set in the Easalytics Club Grouping Admin section.
Cost per Class Attendee added to Class Attendance
We added a new Cost per Attendee metric to the By Class & Instructor and Class Detail tabs of the Class Attendance dashboard, based on client requests. This metric is available for clients with employee pay-rate data populated in their member management system.
Cost per Attendee is calculated by:
- Summing each instructor's pay rate for the class
- Multiplying the total pay rate by the length of the class
- Dividing the total instructor cost for the class by the number of attendees
Attendance includes both registered attendees and walk-ins.
Event Attendance dashboard improvements
The Event Attendance dashboard provides a broader starting point for attendance analysis across Classes, Personal Training, PT Intros, and other calendar appointments and sessions.
The dashboard includes event summary metrics, member-level event details, upcoming event dates, and other tools designed to support member engagement and event performance analysis.
This release includes several improvements:
- Improved Total Attendance: Completed PT events now count registrants as attended, regardless of the individual's attendance status, aligning Event Attendance with PT-specific dashboards. Walk-in attendance is also included to align with Class Attendance dashboards and calendar systems that track walk-ins.
- Expanded Total Enrollment: Club Automation Program enrollment is now included. We also separated finalized enrollment, which includes completed or cancelled events, from pending event enrollment in dashboard summaries.
- Corrected Avg Event Utilization: The calculation now aligns with Class Attendance reporting, and is the average percentage across events.
- Added age and membership details: Age fields and Age Group view-by options were added so users can analyze performance by age. Member detail tables now also include Membership Type and Age.
- Expanded documentation: The Event Attendance support article now includes more detailed definitions for event-related metrics and fields, along with guidance on Easalytics event categorization.
AI Analyst & AI Intel Brief Updates
AI Analyst and AI Intel Brief continue to improve as part of a limited beta. This release includes updates to account-specific query behavior, generated brief reporting periods, and overall data quality.
The most significant addition is the ability to upload files to AI Analyst and combine them with Easalytics data for additional analysis. Supported file types include: CSV, Excel, and PDF.
This new feature allows users to bring external information into an AI Analyst conversation and analyze it alongside data already available in Easalytics.
Other Noteworthy Updates
- Added Item-level reporting to Revenue Trends, including an Item Segment option and new Profit Center and Item filters for more detailed revenue analysis.
- Cleaned up the Check-in Rate metric labeling in the Check-in Analysis dashboard to reduce confusion between different calculations.
- Improved handling of non-recurring PT package sales so they are counted more consistently as PIF activity for Club Automation clients.
- Improved PT EFT Draft Adjustment logic for 30-day cancellations and rewrites, to now include member-count adjustments most visible on the PT Member Sales tab of the PT Sales Revenue & Enrollment dashboard.
- Added "IsExcludedMembership" flag to HubSpot member sync, matching the Member Count Exclusion flag set on the Easalytics Membership Type Grouping page. Use cases for this flag include Staff memberships, short term, etc. you don't want to count or market to in hubspot.
